The challenge

Payouts from marketplaces never matched the finance team's records. Returns, short payments and fee changes were buried in spreadsheets, claim windows were being missed, and monthly closing was running late.

What we did

The approach, step by step.

  1. 01

    Collect and clean the data

We gathered settlement, order and return reports from each marketplace and standardised them into one reconciliation file.

  2. 02

    Match at order level

Every order was matched to its payout line. Short-paid orders, unpaid returns and wrong fee charges were flagged with reasons.

  3. 03

    Raise and track claims

We raised claims within the platform windows and tracked each one until it was resolved or closed.

  4. 04

    Set up a monthly routine

A repeatable monthly MIS and Tally-ready export cut the close cycle and gave the team a single source of truth.
